This Privacy Policy outlines how we collect, use, store, share, and protect your personal information when you interact with the Comeclass web dashboard, mobile application, RFID tags, and SMS notification network (collectively, the "Services").

Comeclass operates primarily as a Data Processor on behalf of educational institutions ("Schools"), which act as the Data Controllers. Schools use our Services to streamline attendance tracking and enhance student safety. We collect and process student personal data solely under the instruction and authorization of the respective School and in compliance with applicable data protection laws.
To deliver real-time attendance alerts and maintain secure digital registers, we collect the following categories of information:
Student Information: Student full name, student identification number, grade/class level, gender, assigned school, and physical RFID tag identification code.
Parent/Guardian Information: Parent/guardian full name, primary mobile phone number (for SMS/App alerts), email address, and home/residential address (where required by the school).
School Administrator & Staff Information: Staff full name, institutional email address, phone number, designated role (e.g., Gate Operator, Teacher, Principal), and login credentials.
Attendance Logs: Timestamps of when a student's RFID tag is scanned at entry and exit points, scanning location (gate ID), and scan status (e.g., Clock-In, Clock-Out).
Device & Technical Data: IP address, device model, operating system, app version, browser type, and push notification tokens (when using the Comeclass Mobile App).
SMS Delivery Logs: Telecommunication delivery status reports confirming whether an SMS notification was successfully dispatched to a parent's phone number.
We use personal data strictly for administrative, safety, and educational support purposes:
Real-Time Safety Alerts: Sending immediate entry and exit notifications to parents via SMS text messages or app push notifications.
Digital Attendance Records: Generating accurate daily, weekly, and termly attendance reports for school administrators and teachers.
Account Management: Authenticating school staff, administrators, and parents logging into the Comeclass Dashboard or App.
System Maintenance & Support: Diagnosing technical issues, preventing fraud, ensuring system uptime, and providing customer support.
Service Improvement: Analyzing aggregated, non-personally identifiable usage statistics to optimize software performance and user experience.
We NEVER sell, rent, trade, or monetize student or parent personal information to advertisers or third parties under any circumstances.
We share personal data only in limited, necessary circumstances:
With the Enrolled School: Student attendance logs and timestamps are fully accessible to authorized administrators and designated teachers at the student's school.
With Parents/Guardians: Attendance logs pertaining to a specific student are shared exclusively with that student's registered parent or guardian.
With Essential Service Providers: We partner with trusted third-party service providers—such as telecommunications SMS gateways, cloud hosting infrastructure, and push notification services—strictly to deliver the Service. These providers are bound by strict confidentiality agreements and data processing contracts.
For Legal & Safety Compliance: We may disclose information if required to do so by law, court order, regulatory authority, or if we believe in good faith that disclosure is necessary to protect the physical safety of a student, parent, or the public.
We implement robust administrative, technical, and physical safeguards designed to protect personal data against unauthorized access, loss, alteration, or disclosure:
Encryption: Data transmitted between our servers, handheld RFID scanners, and mobile applications is encrypted using standard Transport Layer Security (TLS/SSL).
Access Control: Role-based access controls ensure that school staff can only view data relevant to their assigned classes or administrative duties.
Secure Storage: All database records are stored in secure, encrypted cloud data facilities with restricted physical and network access.
We retain personal data and attendance logs for as long as the student remains enrolled in a school using Comeclass, or as instructed by the School. Upon contract termination or explicit request by the School, student records are securely archived, anonymized, or permanently deleted in accordance with data protection guidelines.
Depending on your jurisdiction, parents, legal guardians, and school staff have specific rights regarding their personal data:
Right to Access: Request a copy of the personal information and attendance history held about you or your child.
Right to Rectification: Request correction of inaccurate or incomplete contact details or student profiles.
Right to Erasure / Deletion: Request the deletion of personal data, subject to school record-keeping requirements and legal obligations.
Right to Object / Restrict: Object to or restrict certain types of data processing.
Note: Since Comeclass processes student data on behalf of Schools, parents wishing to exercise data protection rights regarding student records should contact their child’s school administration directly. We will assist the school in fulfilling these requests promptly.
Comeclass acknowledges the heightened sensitivity of processing children's personal data. We do not collect information directly from children under the age of 18 without verified parental consent obtained through the child's educational institution. Our tracking mechanism is strictly limited to gate entry and exit verification during school operational hours.
We may update this Privacy Policy from time to time to reflect changes in our operational practices, technical features, or legal requirements. When updates are made, we will revise the "Last Updated" date at the top of this page. We encourage parents and school administrators to review this policy periodically.
